What you need to know about your invoices.

If you have any questions about the process or structure of your Circula invoices, this FAQ article will help you out.


How do I read my invoices?

How do I read the first line?

1️⃣ On the line stating the plan

You can see the price of licenses (“Unit Price”) , as well as the number of active licenses used (in this example “x 1”). Discount is equal to the unit price of licenses x the number of fixed licenses used. It is removed so only additional flexible licenses are counted.

💡A user is counted as “active” on an invoice if he/she performs one of the following actions over the last 30 days:

  • Submit an expense

  • Approve or reject an expense

  • Control an expense

  • Create an expense report


How do I read the second line (Circula Licenses)?

2️⃣ On the line stating “Circula Licenses”

Circula Licenses is the actual price being charged for the fixed licenses.

Read the the first and second line for fixed licenses used and discount


Additional features

As a third line you can have additional features displayed on your invoices such as:

  • Additional entity monthly

  • Additional entity annually

  • GoBD-konforme Archivierung monthly (System: Accantum)

  • GoBD-konforme Archivierung annually (System: Accantum)

  • Flat monthly fee (Credit card, Lunch benefit, mobility, internet allowance, relax benefit)

The VAT is always 19%.

The gray insert states the reduction applied to your subscription plan, meaning the number of fixed licenses you used multiplied by the unit price. This is a way for us to only count additional flexible licenses as the fixed licenses get deducted here.

Depending on your subscription, you may also receive one-time charged invoices. These invoices refer mainly to individually agreed onboardings or customizations.


How do I know the number of fixed licenses I subscribed for?

You can easily check the number of fixed licenses on your contract.

Unit Price

If you have subscribed for a Circula Professional Default plan or a Circula Basic Default plan, then you can use up to 10 licenses.

The number of fixed licenses can also be checked directly on your invoices. However, only the number of fixed licenses used during the last period can be known with this method. You just need to check the number next to the unit price.

Total excl. VAT

As long as the “total excluding taxes” remains at 0 on the subscription plan, then you know that you are only using fixed licenses, meaning that you will be charged for the unit price of the fixed license agreed when signing your contract, not the one displayed on the invoice.

As long as you see that the “total excluding taxes” in the plan line is not equal to 0,

it means that you used more than your fixed licenses. Each additional license is charged the price you see on this line.


How do I know the number of licenses I used?

On your admin account you can easily check the number of licenses used for the current period.

Go to your Settings > Billing > Your subscription > Active users

You can also see it on your invoice as the number next to the unit price.

  • Submit an expense

  • Approve or reject an expense

  • Control an expense

  • Create an expense report


How do I change my billing information?

Invoices are sent to the email address communicated in the billing settings.

You can easily change this email on the admin account:

Settings > Billing > Billing information > Change billing email

Change the billing email address and click on “Save”.


What is the charge period of the invoice?

The invoices are sent for the upcoming period but the licenses are counted for the past period.


When do I receive my invoices?

You can see the date of the next due payment in Setting > Billing > Your subscription > Next payment day.

If you wish to change the billing date, please contact Support via email to support@circula.com or via our Chat in your Circula account.

For an annual subscription, the invoices are sent on the renewal date, meaning the date you received the first invoice and got your account activated.

If you exceed the number of fixed licenses you subscribed for, you are also receiving an invoice charging you the additional flexible licenses. Despite your annual plan, additional licenses are counted and charged on a monthly basis.

For a monthly subscription, the invoices are sent every month on the day you received the first invoice and got your account activated.

Why do I also receive monthly invoices if I have an annual subscription?

If you receive monthly invoices it means that you used more than the fixed licenses you subscribed for. Circula charges a fixed fee per active user per month.


How can I get the invoices sent again?

Feel free to contact support to request invoices that you would like to be sent again.

Can I get billing information for past invoices modified?

Yes, just feel free to contact support to request invoices that you would like to be sent again with modified information.

What are the different payment methods to pay my invoices?

Invoices can be paid in several ways and you can change this payment method easily.

  • Credit Card

  • SEPA direct debit

How can I update my payment method?

  • Credit Card

    • Admin account > Settings > Billing > Your payment method > Add card

  • SEPA direct debit

    • Contact support to get a SEPA mandate sent to you
