With Circula's Credit Card, issued by Pliant, transactions from virtual and physical VISA Credit Cards are automatically created in real-time as expenses in Circula. This process simplifies accounting, as only receipts need to be attached to the automatic expenses created in the Circula app. Set individual budgets and keep track of all issued cards and expenses at all times. For this, the integration to our interface partner Pliant must be established beforehand.

The Pliant Integration

Once you have activated the Pliant integration, you will find it in the Circula web app under Integrations:

Manage expenses

All purchases with the Circula Credit Card appear directly in the Circula app with the transaction data:

  • Merchant

  • Date

  • Amount

  • Currency

These expenses now only have to be checked, possibly completed, and submitted.

Companies that use Credit Cards want to make sure that all money being spent with the company Credit Card is processed in a timely manner. Accountants must export all submitted Credit Card costs to close the books of business costs for the month. Many times, submitters forget to submit their credit card expenses.

❗️If users forget to finish the submission of credit card expenses (e.g. set receipts or categories), it is important for accountants to remind those users to finalize the submissions.❗️

Credit accounts vs. pre-funded accounts

Businesses can choose between using credit accounts and pre-funded accounts. The main difference between these two options is the way a company finances the use of the cards.

Pre-funded Account

Meaning

In the case of a credit account, pliant will automatically transfer money from a bank account that the company has provided. The frequency depends on the agreement with pliant. It can be either daily, weekly, monthly, or quarterly.

In the case of a pre-funded account, the company uses its own money to fund its employees' credit cards. There is no credit and as long as the company ensures that the account is funded, cardholders can use their credit cards without any problems.

Process

In the case of a credit account, pliant automatically transfers money from a bank account provided by the company.

The frequency of this transaction depends on the agreement with pliant. It can be either daily, weekly, monthly, or quarterly.

Companies can view the date on which such a transfer was initiated, the amount, the status of the transfer, and a transfer ID.

In the case of a pre-funded account, the company manually transfers money from its bank account to the credit account. This process is called a top-up.

Companies may also decide to transfer money back from Pliant to their bank account. This process is called a withdrawal.

In the user interface, users can see the date of the top-up or payout, the status of the transfer and a transfer ID.

Important features

Filter by credit card expenses

This feature is available to all users to find expenses with just one click.

To do this, go to "Expenses" and click on "Filter" in the upper right corner.

A new area will open where you can select "Credit Card" under Payment Type. Click on "Apply Filter" and you're done!

In this view, you now have an overview of all Credit Card expenses.

The filter function for supervisors and accountants

❗️For supervisors and accountants, this feature also provides an easy way to find expenses quickly. To do this, go to the "Approve & Control" tab and click on "Filter" in the upper right corner. A new section will open up, where you have the option to select "Credit Card" under Expense Type. Click on "Apply Filter" and you now have an overview of your employee's Credit Card expenses.

Credit card overview for bookkeepers

As a bookkeeper, you will now find a new tab called "Credit Card" in the upper bar under "Approve & Control". Here you have a detailed overview of all approved and still open expenses. Keep a clear overview of open expenses and remind your employees to submit all open expenses on time.

Approving multiple expenses at once

In the overview of all Credit Card expenses, you also have the option of approving several expenses at once. To do this, click in the small field to the left of the outstanding expenses and place a tick next to all the expenses you would like to release. Now click on the green tick on the left above all expenses and you are done.
