Benefit Groups

What you need to know about using Circula groups.

At a glance

  • Admins can use benefit groups to assign various benefits and benefit budgets to employees.

  • Benefit groups also help admins keep a detailed overview of employees' current benefits.


Benefit groups not only simplify the entire process, from selecting the appropriate benefits, assigning them to specific employees, and setting budgets, but also enable you to offer reduced benefits to part-time employees.

Note

  • If employees only work part-time, the lunch benefit can still be used. However, the 15 days must be reduced accordingly (to ensure this, admins must use the benefit groups). Only the days per week on which an employee works are relevant, not the time per day.

  • Example: A working student (20 hours per week) works 3 days per week. This employee can receive the meal allowance on 9 days per month (3/5 * 15 days).


How do I create a new Benefit Group?

  1. Navigate to "Benefit Groups" under "User Management".

  2. Click on the plus.

  3. Enter the name of the group and click “Add” next to the corresponding benefit.

  4. Now you can configure the corresponding benefits, e.g., for the lunch benefit.

  5. Once you have configured all the desired benefits, click on “Create group”.

Note

  • The default settings for each benefit are as follows:

    • Lunch Benefit: 15 Meals

    • Mobility Benefit: €0

    • Internet Benefit: €0

  • As an admin, you have the option to adjust the benefits as follows:

    • Lunch Benefit: 1-15 meals per month or no limit

    • Mobility Benefit: Unlimited (choice between classic mobility budget and tax-free mobility budget)

    • Internet Benefit: €0-€50 per month


How do I add employees to an existing Benefit Group?

  1. Navigate to "Benefit Groups" under "User Management".

  2. Click on the respective benefit group to which you want to add employees.

  3. Click on “Employees in this group” in the detailed view and then on “Add employee”.

  4. Select all employees from the list that you want to add to the respective benefit group and click on “Add employees”.

  5. You will now see the added employees in the “Employees in this group” tab and can save the settings by clicking on “Save".

Note

  • You can customize the configuration of the respective benefits by clicking on the line of the respective benefit group and opening the detailed view of the group.

Important

  • An employee can only be assigned to one benefit group. This ensures greater validity and avoids redundancies.


Various use cases for benefit groups

Example 1

Note

  • Employees who work part-time can still receive benefits. However, these must be reduced accordingly. Only the days per week on which the employee works are relevant, not the number of hours worked per day.

A company has five (5) employees, three (3) full-time and two (2) part-time, who work three days a week. This company would like to offer its employees benefits in the form of lunch and mobility benefits.

One way to implement this would be, for example:

  1. Full-time employees receive:

    1. 15 meal subsidies per month

    2. €50 mobility budget per month

  2. Part-time employees receive:

    1. 9 meal subsidies per month

To implement this scenario, the company would have to do the following:

  1. Create a group called Full-time Employees, in which 15 meal subsidies and a €50 mobility budget per month have been activated for each user. The company now adds all three full-time employees to this group.

  2. A group called Part-time Employees, in which 9 meal subsidies per month are assigned. Only the 2 employees who work 3 days a week are added to this group.

Note

  • Companies can activate new benefits by simply adding them to a benefit group.

Until now, a company has only been using the lunch benefit, but an admin activates the mobility budget in one of the existing groups. From now on, all users in the group have mobility budgets, and when they use them, the company will be billed for the new benefits.


Changing Benefit Groups

Important

  • If you want to assign an employee to a different benefit group, please wait until the benefit report for the previous month has been completed. When exporting benefits, the settings of the group in which the users are currently located are always applied.
