At a Glance
Once Accounts Payable invoices are marked as Approved, they can be exported.
Export is currently available exclusively as a DATEV XML export.
The export generates a ZIP file, which can then be processed manually in DATEV.
Exported invoices can be found afterwards in the "Reports" tab under "Invoices".
Overview
Once Accounts Payable invoices have reached the Approved status, meaning they have been controlled and approved, they can be exported and further processed in your accounting software.
In the current version, only the DATEV XML export is available.
Tip
Direct transfer to DATEV will be available in a future version.
How It Works
Navigate to the "Export" tab under "Invoices" and select the checkbox next to the invoices you want to export.
After selecting all invoices you want to export, click "Export".
Select the desired export option.
❗️Currently, only the DATEV XML Format option is available.
Click on "Export".
A ZIP file is generated during the export. This file can then be uploaded manually to DATEV.
Tip
Exported Accounts Payable invoices can be found in the "Reports" tab under "Invoices".
Processing in DATEV
Prerequisites
DATEV Belege Online must be set up using the "Erweitert" processing mode. For more information, see point 2 here.
A login medium for secure client access is required (e.g., DATEV SmartLogin or SmartCard ➡️ Login credentials and permissions are configured via the MyDATEV Client Registration).
Note
Prerequisites for using the DATEV Rechnungsdatenservice 1.0 with DATEV eG:
General information about the DATEV Rechnungsdatenservice 1.0 can be found here: DATEV Rechnungsdatenservice 1.0 (Shop).
Information on processing the data in DATEV Financial Accounting is described in the help document at www.datev.de/hilfe/1071255.
Information on the ordering and setup process with DATEV eG can be found under Set Up DATEV Data Services.
In addition to tax advisory firms, the DATEV Partner Onboarding also supports companies operating under the member-based client business model* that work independently with a DATEV accounting solution when setting up DATEV data services.
* Member-based client business means that a direct business relationship exists between DATEV and the company. The relevant services are billed directly to the client. Further information can be found at www.datev.de/hilfe/1004960.
Appointment bookings and additional information are available at https://go.datev.de/partner-onboarding-info.
Provide Documents in DATEV Belege online for DATEV Rechnungswesen
Note
For more information, see point 3.3 here.
After the transfer from Circula, you will find the documents (including the document information from Circula) in the Belege online Bestand. The documents must then be made available for accounting. This can be done either by the tax advisory firm or by the client (if they have access to DATEV Unternehmen online).
You can find the documents under Anwendungen > Dokumente. In the Bereitstellen tile, click Belege bereitstellen.
Select the desired documents and click Bereitstellen.
The data can then be retrieved. By providing and retrieving the data, the document information supplied by Circula is converted into a booking proposal.
Note
The documents arrive in DATEV under Bereitstellen, not under Lieferantenrechnungen or Kundenrechnungen, because Circula already provides document information. The Erweitert processing mode is required so that DATEV can convert the document information supplied by Circula into booking proposals.
Transfer Data from DATEV Unternehmen online to DATEV Rechnungswesen
After the document records have been provided from DATEV Unternehmen online for accounting, they can be retrieved in DATEV Rechnungswesen, where booking proposals can be generated.
For more information, see the DATEV Help Center article "DATEV Rechnungsdatenservice 1.0: Daten übernehmen", section "3.3 Daten ins DATEV-Rechnungswesen-Programm übernehmen".
