Expenses that are processed with Circula go through 4 steps:

  • Submitting,

  • Approval,

  • Control,

  • Export.

Submit

Users can submit expenses via the mobile app (iOS, Android) and/or the web app. Circula distinguishes between four type of expenses:


Approve

Users with the role of a Supervisor are responsible for approving expenses. Expenses that need approval can be found:

  • In the "To-Dos" section for users with the role of Supervisor.

  • In the "Pending Approval" section for users with the role of Supervisor and Accountant.


Control

Users with the role of an Accountant are responsible for controlling expenses. Expenses that need controlling can be found:

  • In the "To-Dos" section for users with the role of Accountant.

  • In the "Pending Controlling" section for users with the role of Supervisor and Accountant.

Note

  • The order in which an expense is approved and controlled does not matter, that is, an expense can either be approved first and then controlled, or controlled first and then approved.


Report

Once expenses have been approved and controlled, they are ready to be exported. For a detailed explanation of the export process, please see our article explaining how to create expense reports.
