What is a CSV file?
A CSV (comma-separated-values) file is a text file with a specific format that can be used to save data in tables. The extension of the file name is .csv. This format is mainly used because it can easily merge text formats into large amounts of data.
Downloading a CSV-Export in Circula
Note
Not only users with the role of accountant can download CSV files on Circula. Users can also download their own expenses as CSV files. You can find more information about the CSV report for users here.
Users with the role of an accountant, have various options for downloading a CSV file.
Important
This article refers to the downloading of CSV files by users with the role of accountant.
1. Via the "Reports" tab
Go to the "Reports" tab in your Circula app.

Click on the three dots in the column of the report that you would like to download as a CSV file and click on "Export as CSV".

Now you can open the CSV file on your computer.
2. Via the "Approve & Control" tab
Go to the "Approve & Control" tab in your Circula app and then click on "All". You will see a list with all expenses.

Either click on the small arrow next to "Submitter" and select all expenses, or manually click on the expenses you want to export.

Click on the "Download as CSV" to download your CSV file.
Downloading the CSV file
Now you can open the CSV file on your computer.
How to open a CSV-File in Excel
Open your Microsoft Excel and click on "Data" in the menu bar.
Now click on "Get data" on the far left and choose "Import data" from the drop-down menu.
A new window will open, where you can choose the data source, click on "Text/CSV".
Select the export file and click on "Next".
Your default settings should already be set correctly for the CSV format. However, if they are not, please adjust them as follows:
File origin: 60051: Unicode (UTF-8)
Delimiter: Semicolon
Data type detection: Based on the first 200 rows
6. Now please click on "Load" in the lower right corner.
7. Your CSV file should now open in the correct format and be readable.
How to open a CSV-File in Google Sheets
Open your Google Sheets program and click on "File" in the menu bar.
Now click on "Import".
A new window will open. Click on "Upload" on the far right and select the file that you want to open.

5. Click on "Import data" and your CSV-Export should now be readable and opened in the correct format.
